Leaving Cal Poly - Account Management Information
Non-current faculty, staff and student accounts will be targeted for deletion. Visit the Account Eligibility & Purge Information website if you have questions.
Prior to leaving Cal Poly, complete the following account management activities:
- Save all important files to your home computer or personal ISP (non-Cal Poly) email account. Download any and all files, important email addresses, web pages, etc. that you stored in your accounts before you leave Cal Poly.
- Instructions to create a “Local Message Store” to save messages to your computer
- Place an auto-reply message in your Cal Poly email account letting correspondents know that you have a new email address.
- Set up a New Email Account
- If email service is important to you, apply for another email account through an outside Internet provider such as Yahoo, Hotmail, or Charter. Many of these email services are free. Once you have your new email account, email friends/relatives/important contacts to let them know your new email address and set a new email delivery address on your Cal Poly account.
- Change the Email Delivery Address (EDA) linked to yourusername@calpoly.edu.

- The Cal Poly Directory record that controls Email Delivery Address “forwarding” will be purged ONE YEAR from your last date as an active Cal Poly student/employee.
- Cal Poly Alumni Association offers free email routing service.
- The Cal Poly Alumni Association does not offer an email account, but they do provide email forwarding to another email service you have outside of Cal Poly. They allow you to select a personalized alias (i.e jsmith-1999@alumni.calpoly.edu) which will route email sent to that address to account (ex. Hotmail, Yahoo, etc.). To find more information on this service, please refer to the Alumni Association web site and select "Email Forwarding."
- Manage Meetings in your Calendar
- It is very important that Calendar account owners work with people in their departments to copy recurring meetings into the new meeting owner’s calendar and then delete the meeting from the departing person’s calendar.
- After meetings are copied, remove delegates from your calendar.
