Administrative Account Information



General Information about Administrative Accounts

Cal Poly uses PeopleSoft applications for Human Resources, Financials, and  Student Administration. These services are accessed via the My Cal Poly Portal.


Report writing tools, such as nVision and BrioQuery/PolyData, are accessed via Windows Terminal Services (CMS-WTS).


The Advancement (BSR Advance) application is also requested with the form below and is accessed via Windows Terminal Services (CMS-WTS).

New My Cal Poly Portal, Email and Calendar Account Requests

Prior to requesting administrative accounts, please request access to the My Cal Poly Portal, email and calendar.

New Administrative Account Requests

To request accounts for PeopleSoft Human Resources, Finance, Student Administration, and Student Payroll, please use the Account Request Form. Instructions for submitting the form are located at the top of the page.

  • Your supervisor will authorize new account permissions and specific requirements via the instructions on the form.

  • New accounts are created by account administrators in various departments on campus. This is a decentralized process that normally takes about five (5) working days.

  • Depending on your job responsibilities, you may need as many as five (5) different accounts and/or passwords to access all systems.

    • My Cal Poly web portal for HR, Finance, Student Payroll and Student Administration Systems.

    • Windows Terminal Services (CMS-WTS) for access to nVision BrioQuery report writers and BSR Advance.

    • nVision for access to financial data tables for reports

    • PolyData Warehouse for access to data tables that you may use when writing or BrioQuery reports.  Permissions to tables in the PolyData Warehouse correlate directly to PeopleSoft production system access

  • Passwords on new accounts are not all the same. Visit Synchronize Passwords for help managing passwords.   You may also contact the CMS  Call Center.
