General OCS Email information

TopWhen an account reaches its allotted quota, incoming email is saved on the server but is not delivered to the over-quota account. The mail is not lost; rather it is being held by the server until the account quotas are back in range. Email can still be sent from the account, but copies of “Sent Mail” items that are stored to a server folder will not be saved. Sent messages that could not be saved cannot be recovered. Email delivery (including delivery of all incoming messages held by the server while the account was over quota) will resume after the quota problem is resolved.
If you are a student, go to the My Cal Poly Portal and access the Cal Poly Password Manager to create a new password for OCS to unfreeze your account.
If you are faculty/staff member, call the Service Desk (756-7000). If you know your password, you may be able to get your account unlocked over the phone. If you do not know your password you may have to submit a password change form.
Are all configurations correct on your email client? Refer to the Cal Poly Email site for configuration help. Is there a .forward set up in your Unix account? Log into your Unix account and run the command “more .forward” at the % prompt. Check to see if the .forward file matches your email delivery address. Call the Service Desk for assistance. Are the people sending to the correct email address? Some people have very similar email addresses so make sure the sender has the right one. If you have a .forward file set up in Unix pointing to your OCS account and an autoforward in OCS pointing to your UNIX account, then an infinite loop will be created and mail will not get through. You will most likely need to remove one of the autoforwards. Contact the Service Desk for assistance.
Is your account locked? If you have tried to login unsuccessfully 5 times within 5 minutes, your account will lock. The account will remain locked for 5 minutes and then be unlocked automatically.

Why can’t I log in to my email account?
All passwords are case sensitive. Check to see that your CAPS LOCK key is not on. If you have recently changed your My Cal Poly password using the Cal Poly Password manager channel, you may have to unsave your old password on the desktop client.TopIs your account locked? TopStudents can change their password on the web at http://my.calpoly.edu by accessing the Cal Poly Password Manager. Faculty/Staff have to submit a password change form. You can pick up the form at the Service Desk or on the web at this link and FAX it to us (756-1536).

How do I set autoreply on OCS?
TopLog into the OCS Web client via the My Cal Poly Portal.
Choose Customize.
Choose E-Mail in the upper left part of the blue bar.
You will have various Compose Message Options on this page.
What is my OCS file storage quota?
TopFaculty/Staff/Students have a total storage quota of 50MB. If you exceed this quota you will stop receiving email until you are under quota. For more information visit the Quotas information site.
How do I activate my OCS account?
TopStudents can activate their accounts on the web at the My Cal Poly Portal by accessing the Cal Poly Password Manager. This can be done two business days after you have registered for classes.

When do new students get their OCS accounts?
TopOnce you have graduated, your computing accounts will be purged, usually within one quarter of graduation. This is based on when your degree is posted on the Student Information Systems (SIS) at the Records Office.
What happens to my computing accounts when I graduate?
TopA senior project, unfinished Master's work such as a thesis, or other ‘special’ circumstance may be a reason for temporarily postponing the purging of computing accounts. In order to get an exemption, students must submit an Exemption Form that can be found at the Service Desk or on the internet at http:/servicedesk.calpoly.edu.
How can I change the name on my account?
TopYou must complete an Account Status Change Form. This form can be found at the Service Desk or on the internet at http://servicedesk.calpoly.edu/documents/forms/directoryserver_eda.pdf.
Can I keep my computing accounts active for my senior project or after I graduate?
A senior project, unfinished Master's work such as a thesis, or other ‘special’ circumstance may be a reason for temporarily postponing the purging of computing accounts. In order to get an exemption, students must submit an Exemption Form that can be found at the Service Desk or on the internet at The Computing Forms Website.
What happens to student accounts when they become Cal Poly staff?
As long as you are State Staff/Faculty and in the HR feed (check PH), the accounts will continue to be active and you will not need to switch to a staff account. If you are ASI or Foundation Staff, you will need to get a hardcopy memo from the ASI or Foundation Director giving you permission to keep the account as well as the reimbursement information.
How do I obtain an OCS account?
Student OCS accounts are created automatically as soon as the student pays their fees and enrolls in at least one unit of class. They can activate their accounts via the web at http://my.calpoly.edu by accessing the Cal Poly Password Manager. State Faculty and Staff must submit a Request for Email/Oracle Calendar Account form that can be found at the Service Desk or on the internet at The Computing Forms website. Other staff (i.e. ASI or Foundation) should contact their MIS director for more information.
