Suggestions for creating an acceptable, secure password:

  • Avoid using groupings of 3 alphabetic characters in a row (such as rtU or rtu). Groupings of 1 or 2 and 4 or more will work.
  • Don’t use 3 or more numeric characters in a row (such as 391 or 4421)
  • Choose a password with at least 3 character types
  • Use special characters in your password
  • Think of a phrase such as ‘Learn by Doing; for Cal Poly.’ Substitute characters, numbers and special characters for the first letter of each word in the phrase. For example: L-bd;4Cp.
  • Remember to use a unique password.
  • Save your password in a secure and private location.
  • Applicants: You will need this password periodically throughout the application process. Please do not lose your passwords.

What are the password rules/requirements? Why can’t I use whatever I want for my password?

The rules help you choose a password that can’t easily be guessed by other people or easily “cracked” by automated means.


Password Length
  • Minimum of 8 characters
  • Maximum length of 40 characters

What It Must Contain

It must contain at least one character from three of the following lists:

* Uppercase Alphabetic (A-Z)
* Numbers (0-9)
* Lower case Alphabetic (a-z)
* These Special Characters are allowed:

! $ % & , ( ) * + - . / ; : < = > ? [ \ ] ^ _ { | } ~


* These are some of the characters that are not allowed:

# " @ and the space character

What It Cannot Contain


* Any words of 3 or more characters, including foreign words
* Any groups of 3 or more characters of the same character type
* Any names, person, places, or things found in a common dictionary
* Any of your names (first, middle, last), any current Cal Poly
username
* Your previous password changed within the last year
* Repetitive characters (sequences)

Is the password I enter into the Cal Poly Password Manager secure before and after it is being checked against all the password rules?

Information Technology Services (ITS) goes to great lengths to protect your password and provide the best security technology possible during the Cal Poly Password Manager password checking and password storage processes.

The password you enter is masked on your screen to guard against someone observing you typing it in. When you click submit on the Cal Poly Password Manager (CPPM) screen, your password is encrypted with SSL (Secure Socket Layer). Once your password passes the rule checking, it is stored encrypted. Encryption is encoding the password using an algorithm to make it unreadable and very hard to translate back into your original password. Participating applications can fetch the encrypted version of your password over an internal (secure) network.

Who can use Cal Poly Password Manager?

The Cal Poly Password Manager is available to all Cal Poly faculty, staff and students who have accounts. Students may access the Password Manager with or without their current password if they know their Student ID and PIN. Faculty and staff must know their current Cal Poly Password or they must call the ITS Service Desk at 756-7000.

What is my Cal Poly User Name?

Your Cal Poly User Name is a distinctive identifier that associates you with centrally supported computing services. It usually is made up from a combination of your first initial and last name - up to eight characters and followed by @calpoly.edu. Examples of valid Cal Poly User Names might be: jmustang@calpoly.edu, zsmith02@calpoly.edu, jdoe@calpoly.edu. Your Cal Poly email address is the same as your Cal Poly User Name.

How do I use my Cal Poly User Name?

When asked to enter your Cal Poly User Name, type it in lowercase. Ex: jmustang@calpoly.edu.

Where do I use my Cal Poly User Name?

You will be asked to enter your Cal Poly User Name when you log in to participating services. The My Cal Poly Portal is the most common location where you will use your Cal Poly User Name. What is the Cal Poly Password?

Your Cal Poly Password is used to authenticate you for access to a variety of computing services, including My Cal Poly and your email account.

To find out if you have a valid Cal Poly Password already, please visit the Cal Poly Password Defined website, log into the new Oracle Calendar DESKTOP application, or contact the ITS Service Desk at (805) 756-7000. How do I obtain a Cal Poly User Name and Password?

Your Cal Poly User Name and Password are automatically created for you when you have officially become a Cal Poly student. That is you have been accepted at Cal Poly, paid your fees, registered and captured units for classes. Once this has been completed, an automated process sends your information into the Cal Poly directory system. This triggers the creation of your Cal Poly User Name and Central UNIX and email accounts. These accounts are in an ‘inactive’ state and must be ‘activated’ in order to be used.

To activate your accounts:
If you are a new student, you should activate your accounts via the My Cal Poly admissions portal using your existing eComs user name and password.

If you are not a new student, but still need to activate your accounts, visit My Cal Poly at http://my.calpoly.edu. DO NOT LOG IN. Select the ‘Forgot your password or need to activate your account?’ link. You will be required to enter your Cal Poly Student ID Number and your PIN, and then select a password. Once this has been completed, your user name and other information will be displayed.

New Faculty and State Staff may obtain their Cal Poly User Name and account information by visiting here.

Fill out the online web form and submit it to the ITS Service Desk. You will be contacted once your accounts have been created. Foundation or ASI personnel should follow procedures for obtaining accounts via their own personnel or technical support department.

Why must I review and agree to abide by IT policies before activating my account or password change?

Cal Poly’s Information Technology Resources Responsible Use Policy (RUP) and other applicable IT policies govern the use of University information technology systems. Anyone requesting an account through ITS must certify in writing that their use of the account is consistent with Cal Poly’s mission and the RUP. Since the Password Manager replaces this process, the electronic acknowledgement was included to ensure that users are aware of these policies and their responsibilities. When asked to enter your Cal Poly password, type it carefully with attention to upper and lower case letters.

How do I change my Cal Poly Password?

If you already have a Cal Poly User Name and Password, log into My Cal Poly and go to the Grades & Personal Info tab.

If you are a student and don’t yet have a password or can’t remember your password, you can still activate or reset your Central UNIX and Oracle Email accounts/password by using the guest-accessible instance of the Password Manager. To do so, visit the My Cal Poly Portal. DO NOT LOG IN. Select the ‘Forgot your password or need to activate your account?’ link.

Faculty and staff who have their account information but need to change their password have two options:

If you know your password, you can change it by going to the My Cal Poly Portal. Log in and go to the Grades & Personal Info tab.

If you do NOT know your password, you can submit a password change form from http://forms.calpoly.edu.

What is password synchronization and why is it needed?

Cal Poly Password Manager synchronizes your password across participating services. This means that you need to remember only one password. It means that you can log in once to My Cal Poly and use a variety of services without having to re-enter your password.

All services that use your Cal Poly Password will be updated. Oracle Email, Central UNIX, and My Cal Poly are a few examples.

Can I still use different passwords on different computing systems?

If you need to use different passwords for different accounts, first set your password using the Cal Poly Password Manager. Then change the password from within the application. If you cannot change the password from within the application, contact the ITS Service Desk at 756-7000. IMPORTANT: choosing to desynchronize your passwords may limit your ability to use certain Cal Poly computing services and applications, such as Single Click Access in the My Cal Poly portal.
