Voicemail System Reference

Introduction

The DiaVox VPS-NT5000 VoiceMail System (VMS) integrates advanced Voice Messaging capabilities with Call Routing, Audiotext, Voice Response Mailboxes, Station Specific Call Processing and many other functions. You will hear a clear, friendly voice guiding you through the system to perform all messaging and call routing functions.

To get started you must:

  • Know how to access the system (see below) and
  • Know your voicemail box number and initial password:

Your voicemail Box number is always your five-digit extension (6-XXXX).

Your password is the same number as your voicemail box number.
Change your password to a different five-digit number right away.

*Note: Once the voicemail system is accessed, it is not necessary to wait for every prompt if you know what digits to press.

Accessing Voicemail From A Campus Phone

  1. Dial 6-6245.
  2. The system will state "Please enter your password".
  3. Press the * and # keys.
  4. Enter your voicemail box number (6-XXXX).
  5. Enter your password.

*Note: The voicemail box status will state how many new messages you have and how many total messages you have.

Accessing Voicemail From An Off-Campus Phone

  1. Dial 756-6245.
  2. Wait for the Cal Poly Main Greeting.
  3. Press the # key.
  4. Enter your mail box number (6-XXXX).
  5. Enter your password.

*Note: The voicemail box status will state how many new messages you have and how many total messages you have.

Accessing Voicemail With An Alternate Method

  1. Dial your own telephone number.
  2. When your recorded greeting begins to play, press the # key.
  3. You will then be prompted to enter your password.

Recording / Editing Your Voicemail Name

  1. Access your voicemail box.
  2. Press 6.
  3. Press 2 to record / edit your voicemail name.
  4. After listening to your voicemail name (if recorded), press 1 to record your name.
  5. Press 9 to save your new voicemail name.

Recording / Editing Your Personal Greeting

  1. Access your voicemail box.
  2. Press 6.
  3. Press 1 to record / edit your personal greeting.
  4. After listening to your active voicemail greeting, press 2 to record this greeting.
  5. *Note: If you wish to choose another greeting, press 1 followed by the greeting number (1-3) you wish to activate. Greeting number 4 is what callers will hear when your line is busy.
  6. Press 9 to save your new greeting.

Changing Your Voicemail Password

  1. Access your voicemail box.
  2. Press 6.
  3. Press 3 to change your voicemail password.
  4. After listening to the current password, press 1 to enter a new password (5 Digits).
  5. Press 9 to save the new password.

*Note: It is highly recommended that you change your voicemail password periodically and keep it confidential.

*Note: DO NOT use 0 as the first digit of your voicemail password.

Listening To Messages

  1. Access your voicemail box.
  2. If there are new messages, the system will play your first new message immediately. Otherwise, the User Main Menu will be played.
  3. Pressing a number key while listening to a message (or after a message has played) will interrupt the message and the corresponding function will be carried out:
Function: Press:
Reply to this message (from another user) 1
Copy this message to another user 2
Erase this message 3
Skip to next message 4
Save this message (saves for 10 days only) 5
Fast-Forward during this message 6
Repeat/Rewind this message 7
Play Message Date/Time Stamp 8
Exit 9
Pause/Play message (pause is 2 minutes max.) #

Sending Messages

  1. Access your voicemail box.
  2. At the User Main Menu, press 1.
  3. Record the message to be sent.
  4. Press # when finished recording.
  5. Enter the destination voicemail box number (5-digit extension).

*Note: The system offers three optional functions which can be used before completing the "Send Message" procedure:

Function: Press:
Edit this message 1
Message delivery options 2
Cancel message destination 3
Continue and send message 9

*Note: Always complete the "Send Message" procedure by pressing 9.
