Voicemail System Reference
Introduction
The DiaVox VPS-NT5000 VoiceMail System (VMS) integrates advanced Voice Messaging capabilities with Call Routing, Audiotext, Voice Response Mailboxes, Station Specific Call Processing and many other functions. You will hear a clear, friendly voice guiding you through the system to perform all messaging and call routing functions.
To get started you must:
- Know how to access the system (see below) and
- Know your voicemail box number and initial password:
Your voicemail Box number is always your five-digit extension (6-XXXX).
Your password is the same number as your voicemail box number.
Change your password to a different five-digit number right away.
*Note: Once the voicemail system is accessed, it is not necessary to wait for every prompt if you know what digits to press.
Accessing Voicemail From A Campus Phone
- Dial 6-6245.
- The system will state "Please enter your password".
- Press the * and # keys.
- Enter your voicemail box number (6-XXXX).
- Enter your password.
*Note: The voicemail box status will state how many new messages you have and how many total messages you have.
Accessing Voicemail From An Off-Campus Phone
- Dial 756-6245.
- Wait for the Cal Poly Main Greeting.
- Press the # key.
- Enter your mail box number (6-XXXX).
- Enter your password.
*Note: The voicemail box status will state how many new messages you have and how many total messages you have.
Accessing Voicemail With An Alternate Method
- Dial your own telephone number.
- When your recorded greeting begins to play, press the # key.
- You will then be prompted to enter your password.
Recording / Editing Your Voicemail Name
- Access your voicemail box.
- Press 6.
- Press 2 to record / edit your voicemail name.
- After listening to your voicemail name (if recorded), press 1 to record your name.
- Press 9 to save your new voicemail name.
Recording / Editing Your Personal Greeting
- Access your voicemail box.
- Press 6.
- Press 1 to record / edit your personal greeting.
- After listening to your active voicemail greeting, press 2 to record this greeting.
- Press 9 to save your new greeting.
*Note: If you wish to choose another greeting, press 1 followed by the greeting number (1-3) you wish to activate. Greeting number 4 is what callers will hear when your line is busy.
Changing Your Voicemail Password
- Access your voicemail box.
- Press 6.
- Press 3 to change your voicemail password.
- After listening to the current password, press 1 to enter a new password (5 Digits).
- Press 9 to save the new password.
*Note: It is highly recommended that you change your voicemail password periodically and keep it confidential.
*Note: DO NOT use 0 as the first digit of your voicemail password.
Listening To Messages
- Access your voicemail box.
- If there are new messages, the system will play your first new message immediately. Otherwise, the User Main Menu will be played.
- Pressing a number key while listening to a message (or after a message has played) will interrupt the message and the corresponding function will be carried out:

Sending Messages
- Access your voicemail box.
- At the User Main Menu, press 1.
- Record the message to be sent.
- Press # when finished recording.
- Enter the destination voicemail box number (5-digit extension).
*Note: The system offers three optional functions which can be used before completing the "Send Message" procedure:

*Note: Always complete the "Send Message" procedure by pressing 9.
