Cal Poly Portal Frequently Asked Questions

What is the My Cal Poly portal?

My Cal Poly is the web portal that features Cal Poly information and services in a format you can personalize.

  • PolyLearn Moodle (Learning Management System)
  • Single click access to many widely used campus applications like email and calendar
  • Self-service for employees
  • Campus announcements and events
  • College, department, and club information

Who has access to the My Cal Poly portal?

Cal Poly students, faculty, staff and new applicants with a Cal Poly username and password.

What is my Cal Poly username and password?

Your Cal Poly username and password give you access to the My Cal Poly portal and to a broad range of campus services including the email, calendar, Wi-Fi, PolyLearn, and administrative tools.

How do I start using the My Cal Poly portal?

To use the My Cal Poly portal, go to

  • Enter your Cal Poly username in the Username field.
  • Enter your Cal Poly password in the Password field.
  • Click on the Sign In button.

What web browsers and settings are required to use My Cal Poly?

My Cal Poly is designed to work with current versions of SSL enabled (secure sockets layer) web browsers (e.g. Internet Explorer, Firefox, Chrome, Safari). Browser cookies and JavaScript must be enabled in order for My Cal Poly to function properly. These features are on by default in most browser applications. If you have disabled either function, please see your browser documentation or contact the ITS Service Desk at 805-756-7000 for assistance.

An Important Note for All Browsers

For an absolutely secure logout, you must close your browser after logging off the application.

    How do I find people, department or club information?

    Use the search box at the top right of your portal page. Search pulls information from Cal Poly’s directory, website, and portal. Enter the name of a person or keywords and click the Search button.

    How do I customize my portal page?

    Visit the My Cal Poly Portal - Quick Start web page to learn how to customize your portal.

    What are tabs?

    Tabs are similar to folders on your desktop. Each tab is a separate screen on your page and can contain several portlets. Tabs are used to organize the various portlets in a format that suits your needs. Tabs can be managed by clicking the Customize tab. You can create new tabs as well as customize the current tabs. 

    How do I add or customize tabs and portlets?

    • To add a new tab, click the Add Tab button in the top navigation bar, under Search. This will create a new tab that you can name. To rename a tab, select the tab and click once to activate edit mode. Clicking off the tab will save the changes. 
    • To add portlets to a tab, click the Customize button in the top navigation bar under Search, and search for the portlet to add. To remove the portlet from a tab, click the X in the top right corner of the portlet then click OK on the confirmation popup.

    Does My Cal Poly have session timeouts?

    As a security precaution, My Cal Poly and all My Cal Poly applications have inactivity timeouts. Timeout intervals are set at the system level and are defined by campus, CSU, and industry security standards. If you are timed out of My Cal Poly or any application, you simply need to log back in.

    What are Cal Poly Announcements?

    The Announcements portlet allows users to receive information from various Cal Poly groups with which they are affiliated. This can include campus-wide, department, club, or course information. Users can subscribe or unsubscribe to the available Announcement portlets. By default, the Announcements portlet is located on the Home tab of the portal.

    How do I subscribe to additional announcement threads?

    To subscribe to additional announcements threads, go to the Campus Announcements portlet and select My Subscriptions at the bottom right of the portlet. Manage your subscription then click the Update Settings button. 

    How can I post events or announcements?

    Faculty, staff, and students have access to communication services provided by the university. For portlet specific announcements, users will need to contact the administrator of that portlet.

    What is the Personal Info portlet?

    The Personal Info portlet, under the Personal Info tab, allows users to change their preferred email, phone, and address information which is stored and accessed by the university for a variety of reasons like payroll, billing, diploma delivery, etc.

    What are the Library portlets?

    The library portlets contain a suite of services provided by the Robert E. Kennedy Library. The portlets give you access to library hours, research databases, the online catalog, your checkout status and online renewals, and more. By default, the Library portlets are located on the Library tab of the portal.

    How do I check my grades?

    To view your grades, go to the Home tab, in the My Classes portlet, click on View Previous Quarters, then click on Poly Profile.

    How do I share my information?

    The Share My Info User Guide shows you how to share your information with third parties such as parents, guardians, scholarship donors, organizations, or others.  In order for a third party to see your shared reports, they need to follow the instructions at Share My Info Application User Guide.

    How do I download software?

    Some software downloads are accessed through the My Cal Poly portal. See "How do I download software?" to learn how to find and download software. The titles you are eligible to download will be searchable; if you search and cannot find a title you are not eligible for it. 

    How do I request an official transcript?

    Go to the Academics tab > Degree Information portlet > then, check the Official Transcript link.

    If you are a former student who has not attended Cal Poly in 8 quarters or more, visit and view the information under Former Students. You will need your date of birth, dates of attendance, the last 4 numbers of your SSN, and your name while at Cal Poly.

    Can I apply for scholarships on My Cal Poly?

    Yes. Cal Poly’s online scholarship application is available as a portlet in the My Cal Poly portal, but only accessible from the application window. To learn more about Cal Poly scholarships and the dates during which applications are accepted, visit the Cal Poly Financial Aid website.

    How do I check or add money to the balance in my student account?

    The Student Account or Payment Info portlet displays your detailed student account balance and financial transactions. Go to the My Cal Poly portal > Money Matters tab. Provided there are transactions listed for the current term, you may add money to your account by clicking on the Make a payment link.
