Account Types and Requests

Applicants and Students

Applicant and student accounts are created for those officially associated with the university via Admissions. Students lose access to their email upon graduation or after not attending classes for three (3) quarters and lose access to the My Cal Poly portal eight (8) quarters after graduation. Students working to complete projects after graduation MUST submit an account extension.

Faculty and Staff

Faculty and staff accounts are created for those officially associated with the university via Academic Personnel or Human Resources. Faculty lose access to their accounts when they have not taught a class in four (4) months. Staff lose access to their accounts when their status becomes inactive in Cal Poly Human Resources systems.

Affiliate

Affiliate accounts are used for individuals who are not officially associated with the university and are submitted by a sponsor. These accounts are paid for by the sponsoring Cal Poly organization. Affiliate account renewal requests must be submitted annually by the affiliate's sponsor.

To request an account, log in to the My Cal Poly Portal.

  1. Under My Apps, select Technical Service Request.
  2. Once logged in, select the New Account Request tab at the top of the page.
  3. Enter Recipient Information with either your information, by clicking the Recipient Same as Requestor button, or enter the Recipient's username for whom you are requesting the account and click the Click to Lookup Recipient button to populate the user's information. If the person is not currently associated with Cal Poly, use aother (Anonymous Other) for the Recipient username.
  4. Under Request Details:
    • Request Type: New Account
    • Request Sub-Type: Affiliated User Account
  5. Fill in all of the required fields (indicated with a red asterisk). The following information is needed to complete the request:
    • Chart Field: A state reimbursable account number
    • Chart Field Approved By: The name of the person who approved the chart field
    • Chart Field Approver Role: The role of the person who approved the chart field (Department Head, Administrator, Project Director, Dean/Associate Dean
    • Approver (Sponsored) by: Depending on your department, choose an approver from the Affiliate Request Approvers by Department page. 
  6. Click the Save button.

Please allow five working (5) days for processing.

Affiliate - Renewal

To renew an affiliate account, log in to the My Cal Poly Portal.

  1. Under My Apps, select Technical Service Request.
  2. Once logged in, select the New Account Request tab at the top of the page.
  3. Enter Recipient Information with either your information, by clicking the Recipient Same as Requestor button, or enter the Recipient's username for whom you are requesting the account and click the Click to Lookup Recipient button to populate the user's information. If the person is not a current member of Cal Poly, use aother (Anonymous Other) for the Recipient username.
  4. Under Request Details:
    • Request Type: Account Modification
    • Request Sub-Type: Affiliated Account Modification
  5. Fill in all of the required fields (indicated with a red asterisk). The following information is needed to complete the request:
    • Chart Field: A state reimbursable account number
    • Chart Field Approved By: The name of the person who approved the chart field
    • Chart Field Approver Role: The role of the person who approved the chart field (Department Head, Administrator, Project Director, Dean/Associate Dean
    • Approver (Sponsored) by: Depending on your department, choose an approver from the Affiliate Request Approvers by Department page. 
  6. Click the Save button.

Organizational - Club, Department, Unit, or Service Account

Organizational accounts include university club, department, unit, or service accounts. The administrative or technical contact can request a password reset by calling the ITS Service Desk at 805-756-7000 or by visiting the Natatorium (No. 46).

New clubs must first submit paperwork to ASI Club Services.

To request an account, log in to the My Cal Poly Portal.

  1. Under My Apps, select Technical Service Request.
  2. Once logged in, select the New Account Request tab at the top of the page.
  3. Enter Recipient Information with either your information, by clicking the Recipient Same as Requestor button, or enter the Recipient's username for whom you are requesting the account and click the Click to Lookup Recipient button to populate the user's information. If the person is not a current member of Cal Poly, use aother (Anonymous Other) for the Recipient username.
  4. Under Request Details:
    • Request Type: New Account
    • Request Sub-Type: Organizational Account (Department, Club, IRA).
  5. Fill in all of the required fields (indicated with a red asterisk).
  6. Include information for the Account Administrator contact and Technical contact. They are the only ones who can request changes to the account and reset the password.
  7. Click the Save button.

Account Extension

In special cases, an account extension may be necessary. For example, current students in the process of completing their senior project or thesis can request an account extension, as well as, students who just graduated if they are working for a Cal Poly department. An extension won't be granted if the user is not a student, is requesting an extension for work, or doing summer research.

To request an account extension, log in to the My Cal Poly Portal.

  1. Under My Apps, select Technical Service Request.
  2. Once logged in, select the New Account Request tab at the top of the page.
  3. Enter Recipient Information with either your information, by clicking the Recipient Same as Requestor button, or enter the Recipient's username for whom you are requesting the account and click the Click to Lookup Recipient button to populate the user's information. If the person is not a current member of Cal Poly, use aother (Anonymous Other) for the Recipient username.
  4. Under Request Details:
    • Request Type: Account Modification
    • Request Sub-Type: Other Account Modification
  5. Fill in all of the required fields (indicated with a red asterisk).
  6. Click the Save button.
